Vehicle Data Acceptable Use Terms

1. Scope and authority

These Vehicle Data Acceptable Use Terms apply when a workshop enables or uses automatic Australian vehicle lookup through Workshop HQ. They form part of the Workshop HQ Service Agreement.

The owner accepting these terms confirms that they are authorised to bind the workshop and are responsible for ensuring that all workshop users comply with them.

2. Permitted workshop use

• Vehicle data may be used only for genuine workshop operations within Workshop HQ, including bookings, quotes, jobs, invoices, service history and legitimate business-record exports.
• Each lookup must be initiated by an authorised individual user for a real and separate customer, vehicle or workshop transaction. Workshop HQ records the user, time, registration, jurisdiction and provider result for security, billing and audit purposes.
• Each supplier lookup is a pay-per-use, single-use request. Access does not transfer ownership of the lookup service or source data to the workshop.
• Returned data may be retained only as part of the same workshop's legitimate customer or vehicle history, audit records, communications and legal or regulatory records.

3. Prohibited use and supply

• The workshop must not sell, resell, market, supply, resupply, lease, license, sublicense, lend, assign, transfer or otherwise provide vehicle data as a standalone product or service to another person or business.
• A previous lookup result must not be reused to answer a new or separate query for the same or another customer, vehicle, workshop, brand or business. A fresh eligible lookup must be made for each separate query.
• The workshop must not cache, copy, bulk extract, scrape, compile or build a separate database from vehicle data, or store or reuse data to avoid lookup fees or access controls.
• Vehicle data must not be used for an unlawful, misleading, discriminatory, surveillance or unrelated marketing purpose, or in any way that infringes another person's rights.

4. Australian access, privacy and security

• The vehicle lookup service and returned vehicle data must be used, stored and accessed only in Australia. The workshop must not permit access from outside Australia without prior written approval from Workshop HQ and the relevant data provider.
• Each person must use their own authorised account. Credentials, API access and MFA devices must be kept secure and must not be shared.
• The workshop must use reasonable access controls and safeguards, limit access to people who need it for the permitted purpose, and comply with applicable privacy and data-protection laws.
• Suspected misuse, credential compromise, unauthorised access or disclosure must be reported immediately to [email protected]. The workshop must take reasonable containment steps and cooperate with any investigation or remediation.

5. Records, audit and provider rights

• Workshop HQ may retain lookup and acceptance records for billing, security, compliance, dispute resolution and audit purposes for at least 12 months from the lookup, or longer where the supplier agreement or applicable law requires it.
• The workshop must keep reasonable records demonstrating compliant use and cooperate with a lawful or contractually required audit. Workshop HQ may provide relevant audit findings or records to InfoAgent or its data suppliers where required to investigate misuse or meet supplier obligations.
• Workshop HQ may suspend or disable vehicle lookup immediately where misuse, a security risk, an overseas-access risk or a breach of these terms is suspected.

6. Ending access

When vehicle lookup or the Workshop HQ account ends, the workshop must stop new access and use. Legitimate existing workshop history, communications, audit and legally required records may be retained for those continuing purposes only. Other vehicle data must be deleted or returned where Workshop HQ or the data provider lawfully requires it.
